What the club actually gets.
Grouped by the job it does on a Tuesday night, not by the part of the system it lives in. Everything listed here is built and working today; the table at the bottom says plainly what isn't.
The part that has to be right.
Working-with-children checks
Recorded per person with the issuing state's rules. Expired, missing or unverifiable checks resolve to non-compliant on their own.
Bulk import from your spreadsheet
Bring the workbook you already keep. Columns are matched on import and every row that can't be read is reported rather than dropped.
Renewal ladder per jurisdiction
Reminder windows scale to the scheme — earlier where validity is short and a renewal means a full fresh check.
Other credentials too
Coaching accreditations, first aid, blue cards and club-defined credentials, on the same expiry and reminder machinery.
Member protection cases
Complaints intake, triage, investigation, outcome and sanction, with the disciplinary and prohibition views derived from real case outcomes.
Policies and attestations
Mandatory policies issued to members, with re-acknowledgement chased automatically when a policy comes into effect.
Compliance frameworks
Obligations tracked against due dates and lead times, with alerts before and after they fall due.
ASC pillar assessments
Assess against the Australian Sports Commission pillars, link evidence to real records, and turn a gap straight into a task.
Organisational Health Index
A weighted rollup of those assessments per period, with submit, approve and publish steps and a full change history. An unassessed pillar counts against you — a gap is not a free pass.
What the committee is carrying.
Meetings end to end
Agenda, attendance, quorum, motions, voting, minutes and sign-off — including AGM and SGM handling with app check-in.
Board register
Members, office bearers, terms and end-of-term, resolved against real people rather than typed-in names.
Conflicts of interest
Declared, acknowledged against the agenda item they relate to, and recorded in the minutes.
Tasks with real owners
Owners, approvers, due dates and watchers. Overdue tasks chase their owners, and long-overdue or critical ones escalate to the committee.
Governance evidence packs
Assemble the evidence a regulator, funder or insurer asks for from live records, with the filing references attached.
Strategy and projects
Plans, objectives and project tracking held where the committee that owns them can see them.
Members, volunteers and officials.
Members and teams
The register, the teams, and who sits where — with a collection notice shown at the point personal information is collected.
Volunteers and shifts
Roles, assignments and shift reminders, tied to the clearances the role requires.
Match officials
Appointments, availability, assessments and welfare, plus a retention watchlist that surfaces officials at risk of walking away.
Away trips and tours
Party lists, supervision ratios, guardian consent and supervisor clearances gathered before departure. Unknown date of birth is treated as a minor.
Custom forms
Build the club's own data-capture forms with a stated purpose, a collection notice and a retention window that deletes submissions when it expires.
Mobile capture
Report a hazard, an incident or an injury from the sideline. Off the grid, it's saved on the device and sent when you sync.
WHS that stands up later.
Incidents and hazards
Captured at the time with the detail that matters, including whether the incident is notifiable.
Notifiable incident chasing
While a notifiable incident has no regulator notification recorded, the club keeps being told — daily.
Risk register
Inherent and residual ratings, owners and review dates, with overdue high and extreme risks escalated.
Inspections
Scheduled facility and equipment inspections with due-date reminders and overdue alerts.
Injury and return to play
Injury records, clearance gates and a return-to-play pathway that won't clear an athlete until the checklist and sign-off exist.
Athlete wellbeing
Wellness monitoring against per-club thresholds, gated on consent — including a parent or guardian's consent for a minor.
Reporting, exports and the audit trail.
Report builder and dashboards
Saved report definitions over your own records, arranged into dashboards the committee can share.
Exports in four formats
CSV, JSON, PDF and Excel, generated from live data. Export columns are identifiers only — no member names carried out in a register file.
Scheduled reports
Run on a schedule and delivered by email, with the run recorded so you can see it actually happened.
Audit log
Access to and changes of sensitive records written to an append-only log, retained under a retention policy you set.
Privacy requests
Export or erase one person's data across every table that holds it, on request.
Notifications that are real
Email is sent or it is recorded as failed. Nothing is ever marked "sent" that did not leave the system.
What isn't built yet.
A compliance product that overstates itself is worse than no product. This is the current state, kept up to date.
| Capability | Status | Detail |
|---|---|---|
| Online registration and payments | Not built | There are no payment rails. Accounts are created by club administrators; public self-registration is closed by design. |
| Automatic withdrawal of platform access on expiry | Partly | A lapsed check marks the person non-compliant automatically and clearance-gated activities such as away trips refuse them. Sign-in access itself is not yet revoked by an expired credential. |
| AI analysis of your records | Off | The engine seam exists and is restricted to Australian-region models, but it is switched off. Requests fail honestly rather than inventing findings. |
| Automated verification against registry systems | Partly | Checks are recorded, verified by a person and re-verified on a schedule. Direct machine lookups depend on each registry offering one. |
| SMS notifications | Not built | Email only. No SMS provider is connected, and an unsent message is never reported as sent. |
| ISO 27001 certification | In progress | The controls are being built toward it. GovSport is not certified, and does not claim to be. |
